My final thoughts on NET11
First of all a big great thanks to Cynthia, who is a wonderful teacher with lots of knowledge and understanding. I personally appreciate and thank her once again for the extension given for my concept assignment, without that extension I could not have finished my assignment and receive a flying colour.
When I started this online unit for the first time I thought this is going to be easy, but I let it go too long to start and then I struggled to catch up with other students who were way gone past me. Anyway in the middle I kind of caught up with my speed and did quite all right in the end.
Talking of the module itself I should say I did not know what I was doing when I did Module 1. I could not have completed it without those great helping posts in the discussion board. It was like learning another language for me.
Then when I moved to Module 2 I started to enjoy it because those are some things I practice in my real life too. Eg: Chat and Email.
I found Module 3 first task of HTML challenging. But I loved it.
Module 4 is excellent help for my future and present studies since I found out about all web search techniques and most of all about Boolean searching which is pretty good.
I stumbled on the last module that is module 5. I did not understand the question and the text in one read. I had to do my own search and findings before I could understand the meaning of Information ecology. Now I understand well.
Concepts assignment was very very informative and educative about web world and Internet communication.
My IQ level for sure has gone from zero to 80% on Internet communication. By regularly practicing some of what I learnt from this unit I hope to maintain or increase my IQ level.

Information Ecologies
To my understanding ecology is a study of the connections between humans and interrelated environment. So Information ecology is a study of the connections between humans and computers as a ecosystem.
How might the metaphor of an 'ecology' impact on the way you think about, understand or use the Internet?
In this present era it is coming to a point where humans cannot live without Internets and world wide webs. It is so dominating that people think for their day to day functioning Internets are essential at work or home.
So studying of Internet as an ecology is ever changing process. Every day there is new developments and technological inventions happening around the world. By analysing the Internet in connection to humans needs and behaviour is considered essential. Internet is moving towards a era where people control the net rather net controlling the people which it use to be.
Introduction of face book, flickr and blogs etc are the ecosystems which shows the needs for the ecological research. At one stage Internet use to be a one way communication where by you provide information to the system now it is a two way communication where by you give and take. So I think we have to be consider ant about our society and people when using the Internet bearing in mind the information ecology concept.
How are the concepts 'information' and 'communication' understood within the framework of an 'information ecology'?
To my understanding information is the source data and Communication is the technology or medium used to transfer information. I guess so for a communication of message to be complete we should have both the source and a mode of transferring equipment. By that way information and communication are organism of information ecology.
Why don’t we talk of a ‘communication ecology’?
I guess communication will not happen without information. Exchange of information between sender and receiver is the main reason for communication so it is information which is leading to communication. Therefore it makes sense to call it information ecology rather than communication ecology.
I understand better now about ecology, information, communication and information ecology than when I started this module.

This is a pretty good journal to read on about the different models in information behaviour. This journal not only gives the author's point of view but also discusses few of the other authors view points on information behaviour. The author has used different graphics to explain the process of information behaviour, information seeking behaviour, information processed at different levels, relationship between communication and information and finally a problem solving model.
These graphical explanation makes it easy to understand how the problems in information and communication at different levels has been solved by at different phases in time. The relationship chart of communication and information and the problem solving model simplifies the complex process of communication in a simple format. I would recommend this journal to anyone who does not know how communication takes place in a chain process and how feedback is important at every stage of communication of information.

We could rely on this journal for referencing purposes since it is a journal written for a University publication by T.D Wilson who holds a PHD.

I did this task after I have submitted my assignment so I thought of another concept which I did not pick in the concept assignment to broaden my knowledge on the subject.
First I did a Google and Copernic searches and using bookmark buddy I bookmarked both the search results sites. Then as I went through the hits(links) I bookmarked the links I wanted. After finding three suitable URLs which I saved in my Bookmark Buddy programme I reopened the links and copy and pasted the relevant sections into my blog.
I have learnt lots of useful soft wares or tools in this module which I could use in all my other subjects and work purposes as well. Up until this module I print every single articles or journal I find on the web to reference for my assignments. But moving forward I guess I am going to work in a paperless form where I save anything and everything I want in the Bookmark Buddy programme.
Boolean Searching Task


Search Engine Task
Oh what a disastrous morning this have been. Downloading of Java yesterday for my previous tasks has in some way affected uploading images to my blog. It kept telling me that it is something to do with Java so I removed the Java and tried again. But once the image uploads and I click done it closes the whole browser section. So I restarted my computer did not work, shut down my computer for some times and restarted it, did not work. So I gave up on uploading images to my blog. As a last resort for the time being I just simply copied all my screen shots to my documents and left it there without uploading.

Last night before I went to bed I copied all my screen shots which I saved in my documents to a compatible disk and brought it to work this morning to upload the images to the blog. Thank god it worked. I can't do much at my work computer because it has lots of administrative limitations which will not allow me to do most of my Uni tasks at work computer after hours as well. I try to use the work computer after hours so that I could concentrate without my kids distraction but that hardly works for me.
I thought I am never going get this sorted and finish my task on time. I think it's the god will that I should finish that is why it worked.
1. Choose your most commonly used Internet search engine and do a search with words of your choosing.
I used Google search engine which I normally use for any of my searches to do a search on "Information and Communication are related". The hits results as follows;
Number of Hits - 37,000,300
Time - 0.32 seconds

So when I clicked on the first Scholar Articles the number of hits reduced to 4,290,000.
To my understanding this means it is only looking for "Scholar" articles in the web. That is why the number of hits has reduced from 37,000,300 to 4,290,000.
2. Using Copernicus or similar, set it up to search at least three search engines (including one that will search the 'deep web') and repeat exactly the same search.
Using the Copernic search tool I did the same search for "Communication and Information are related" and the following results came.
No of Hits - 87

I could not do any deep web setup in the free version of the copernic desktop search tool. All what I did was in the advanced setting I changed the preferences as I wanted it to search the web. I believe this is a search tool which goes and search in the other search engines to find the exact match sources. When I had a look through the results It has picked articles from Google, Yahoo, Ask and few other web search engines which matched my search words.
The URLs or hits which came up in Google and copernic are pretty much the same ones which came on the first page. I believe copernic will provide me with more specific results compared to mass Google search.

Downloading Tools Task
Since I already have Acrobat reader and Windows Media Player I downloaded the following tow softwares to explore.
1.Copernic Search Manager:
As I previously stated I am a google user who just depends on google for every thing. I did not look beyond google for any of my search. Once in a while I used to do Yahoo search as well.
This is the first time I used this copernic search manager software and I was amazed. This is simply like a personal assistant or secretary who can do all the work for us by just sitting in my computer tool bar and help me to find things very easy. I should really appreciate the Copernic desktop search which even goes beyond the web and does the search in my hard drive for any files and folders my contacts and even shows the last few viewed web pages.
I don't think I'll ever get rid of this search manager who has become my part of web life within seconds of installation.
2. Bookmark Buddy for Windows:
This is another software program which is something new I tried and I liked it. As the name state it is a friendly Bookmark Buddy for windows. I viewed some of the already bookmarked pages which came with the software itself and I tried to add new pages into the Book mark and it worked well. I tried the Webct web site out of curiosity and it asked for user name and password when I tried to view again.
3. Java
I downloaded Java to see the animation and It was quite interesting to see the movement.

Web 2.0
One great thing I use for almost everything on the web is Google. This is an excellent search engine which is at the top on web 2.0 list for me. It gets to a point without Google I can't finish my assignments or be more knowledge about web. Thanks a lot to Google which makes my life lot easier.
My first ever experience of u-tube was the web 2.0 u-tube in Module 3. I have always been hearing about how others talk about u-tube but my first experience is from my studies with NET11. Recently my friend told me that she did not miss any part of her cousin's wedding which happened in France by watching it on u-tube in Sydney. Wow how amazing is that you get to see live telecast of a wedding happening on the other end of the world from this end of the world.
A big salute to web 2.0.

Task
The major difference is that blinklist is web 2.00 where as the html is the older version of web.
I think once you get used to the latest version of web 2.0 it is a bit too boring to deal with simple html page.
Blink list is colour full and easy to navigate where as the html page you got to read through before you could pick and select.
Blogs
This is the first time I used blog and I think even after completing this unit I'll continue to blog if time permits. I did not know until I took this unit as an elective subject for my Bachelor of Accounting that there is something called blog and it is so easy to do.
I personally thought blogs are for personal use until I came across blogs in the searches and there were journals and articles relating to researches. I did not use any of them for my referencing purposes since I was too scared about the recognition of author and how valid the source is.
I have seen many cinema blogs which have attracted me to read. Especially Tamil movie stars and they are updated quite often which is interested to know their upcoming projects. I have left many comments as well.
I recently visited the blog of Apple's Mobileme site and was fascinated by their updates posted every other day after their launch of new product mobileme. It shows a good use of blog in the net world.
FTP
First of all using Filezelia I uploaded my web page and FTP it to Curtin Oasis. Then I downloaded the VPN cisco system and able to log in fine. But when I try to access my home page through VPN an error message kept on coming.
So I emailed Cynthia and as per her instruction I did not continue to waste any time longer on this task as she reckons it as an IT issue.

Hi Janaki,
some students have issues with VPN and not being able to access their
page - at this late stage in the unit I strongly suggest moving on from
the task and perhaps simply uploading to the presentations area instead.
You can contact curtin IT and ask for help but it will take a while.
Do you feel ok with letting that go and uploading to presentations at
this stage? if it were earlier in the sp I would suggest we follow it
through but I really dont want you to get bogged down with an it related
issue when you have an alternative available.

After viewing the copyright website and Curtin's copyright policy I think so far I have not used any words or images that contravene copyright laws.

I have got only one photo of my kids which is my copyright if so also.
I do not think according to the copyright website and curtin policy the screen shots attached are against the copyright policies.
The images I uploaded for the HTML tag task I presume is intended for that purpose and should not be against copyright.
Words
Any words or materials I used for my concept assignment is referenced fully to my best knowledge in the bibiliography. Other than that I normaly like to write on my own words any of my experiences and or answers to my tasks.
Would you be in breach of copyright if you put the Curtin logo at the top of your web page for an assignment?
Yes I guess I would be. My reasoning behind this is Curtin logo is only to be used by Curtin Uni staff who has the authority to use it on their correspondance or doucment and it is a breach or illegal issue to use by a student. Students do not have the legal status the staff has in a Uni so it will be a breach of copyright to put in an assignment.
5 Most important rules for writing online
My suggestions are,
1.Be simple and get the point straight away - That is not every one who surfs the net has time to read every single word by word so come to the point straight away.
2. Make it attractive with bold underlines and provide hyperlinks where ever possible to highlight the key words and meanings.
3. Try to avoid too many links. That is users may get diverted from your page and carried away to another web page where they will forget your web page.
4. Use simple easy to understand language and grammar. Bear in mind there are all types of people who surf the net. e.g. students, kids.
5. Finally through my experience make the page printable. That is give alternative version of printable format if the present layout is not printer friendly.
To my understanding advice on Nielsen's paper still stand current because I am one of the type of surfer described by him who Scan quickly and very impatient. So I reckon his principals are still young.

Concepts Assignment
"Good communication practice on the Internet is not something one 'learns', but something one 'practices' so as to teach others, less familiar than yourself, how it is done" (Allen, n.d.)
Every one who uses the cyberspace should be aware of good conduct on the internet communication and web publishing. There are codes of practices we follow at school, work, and clubs or even in a public place. Like wise we should follow similar code of practice in the cyberspace.
“Netiquette is the rules for online behaviour especially in newsgroups, forums and chat rooms. It is derived from the two words internet and etiquette” (What is netiquette, 2007)
According to Shea (1994) there are 10 rules should be followed in on line communication like wise you would follow in off line. Considering other’s privacy, security, freedom of speech, honesty and emotions since there are human beings who is sitting on the other side of the computers.
Netiquette is not some thing that every one learns by going to classes, it is some thing we practice by looking at others. That is in a newsgroup if the people are friendly, uses acronyms and emoticons then the new comers also will try to use the same. If you do not respect the ethics in the offline community, you will get kicked out or banned from the site.
This netiquette not only applies to newsgroup but also to email, chats and your own webpage or web log. The cyberspace is a place for everyone. Kids, adults, oldies, newbie’s, students and many more categories of people uses the net, so we have to consider everyone in that world when publishing something on the world wide web.
In my personal opinion I consider the chain emails to be a bad etiquette. Every one would have at some stage received an email saying “Please pass this to at least 10 people otherwise bad luck will come to you today”. This is very annoying; some feel if they don’t do it bad luck will really come there way and they pass it to others. Senders of this chain emails should first of all realise how they felt it when they received it and should not continue to pass it on.
For anyone to follow good netiquette practice the simple rule should be to “put yourself in other’s shoes” and “help others by helping yourself”. “With few written guides for ordinary people, the Net has grown in large part one person at a time -- if somebody helps you learn your way around, it's almost expected you'll repay the favour some day by helping somebody else” (Gaffin, 1993)
Below is a summary of few important netiquette practices to follow that I found out through my own practice and learning experience.
E-mail:
Try not to use the company’s email facility for personal use. This may endanger your reputation at work.
Do not assume all emails are to be completely secured so be careful in sending bank details or passwords.
Do not encourage chain emails. This is an utter waste of time from my point of view.
Take care with addresses, message and content; make sure you are sending to the right person the right information. Do not regret after sending any emails, so read and confirm before sending out
Mailing list and Newsgroups
Observe before posting your message for some time to make sure you are not posting some thing that has already been posted to avoid embarrassment.
Don’t get involved in Flame war that is better leave rather than arguing with some one whom you don’t know.
Message posted should be relative to the topic in discussion.
Do not post personal messages. Bear in mind newsgroup is a not one to one communication place; this is a bunch of people chit chatting place.
Leave the newsgroup if you find them offensive
Chats
Do not interrupt in a private chat. This is very rude.
Do mind the language and culture of the other party in a chat and always give respect and take respect.
If you find the chat offensive leave the chat, do not continue to argue.
Give time for the others also to communicate. E.g.: In a group chat some may be a slow typist compared to others so give them some time.

This means variety of different cultural people communicate with other cultures. So it is very important to understand and respect each others culture and religion even in business communication.

People tend to use email in a friendly tone even in business correspondence, but this site advice as to how it should be formatted and what important factors should be there in a business email and the etiquettes in email. Concept #8: The invisibility of difference
“The daily practice of electronic communication is shaped by over-familiarity with one's own computer system, and a tendency to assume that – as with much more established forms of communication – everyone is operating within compatible and similar systems. When in doubt, seek to communicate in ways that are readable and effective for all users, regardless of their particular systems” (Allen, n.d)
This is some thing I experience at work regularly because our company use Microsoft Office 2003 and what we receive most of the time is the latest version which is not compatible. The latest version of Microsoft office used by some of our suppliers especially our Accounting System provider (SUN Accounting System). In that case we have to send the email back to the sender asking for a compatible version so that we could open the document. This is annoying when the information is urgently required to continue our work. This is a real good example of invisibility of programs used at my work place.
For personal use or for work purposes when sending attachments via email always make sure the receiver could access it without difficulties. One good way to do that is send attachment as plain ASCII text so that any system can read the data. But this does not help for every attachment, which is when sending photos, graphic designs or Accounting data bases. Before sending attachments may be it is a good idea to check with the receiver to see whether they have the program requested to run the attachment if not ask the receiver what other programs they have that can run the attachment and send a compatible version.
Another aspect to check is the size of the attachment. That is not every mail server have the capacity. Yahoo at the moment allows unlimited amount of downloaded space, where as at work places the intranet will not allow big files to open up due to the lack of space. So may be a zipped file will reduce the space or publishing it in a web page and sending the link to the web page will solve the size problem.
Most commonly used program for attachment is PDF format. This type of file can be viewed using Acrobat reader which is available to download free of charge from the World Wide Web. But the deficiency of this program is it is read only the receiver cannot edit the file.
The above discussion focuses mainly on the sender’s point of view. Let’s look at receiver’s point of side. For receiver to access any files or web pages he could simply update the softwares every time an upgrade happens which is a very expensive process or have a format converting software. Practicality of this is still questionable with the amount of new softwares coming into market.
Another aspect to note in invisibility of difference is compatibility of accessing web pages. Some web pages are designed using hi tech graphics and technologies that cannot be viewed or accessed by every one. There are many types of people who surf the other than the computer geniuses e.g.: vision or hearing impaired people, small kids, students etc. So when publishing a web page the publisher has to use simple formats which could be understood by every one or provide alternative methods of access and be considerate of the minority users as well.
According to Kelly (2000) from visitors point of view a good web site is one that is usable, he or she wants, doesn’t waste time and finally not irritating.

Concept #20: Active communication generates identity awareness
“One can only generate awareness of one's membership of an email list by posting messages; others' awareness of your identity will enable them to include you in their discussions and enable you to play your part in the community that is the list”(Allen, n.d.)
This is a well suited concept for our participation assignment as well as for our discussion group. I always had been a silent participant in my previous studies due to lack of time in taking part in group discussions. This semester my NET11 and REA11 online studies have put a halt to that and I’ve tried to be an active participant especially due to the requirements of the subjects.
For our Module 2 tasks we were asked to participate in a yahoo email list and I contributed to the list. Participation was established by posting the first message to the email list and my identity was recognised by receiving welcome response from the group. The leader had the authority to kick out any intruders who are not NET11 buddies.
It is by actively participating in a newsgroup or email list or even in our NET 11 discussion group our identity is made aware. This active participation was a requirement in the “Cooking Nooks Newsgroup” which I joined for my assignment purposes. They urge every one to participate by publishing their own recipes and commenting on other member’s contribution. To join the group for the first time any member has to get permission from the President of the group. I believe this is a control mechanism to note the email address of the new member, the number of members and to ban any unwanted contribution.
While these active members are called ‘core group’ - those people who actively participate in discussion in the forum, another group identified called as ‘lurkers’ are members who exist in the periphery community but does not participate in the forum’ (actKM Online Journal of Knowledge Management, 2005).
According to a survey in the actKM Online Journal of Knowledge Management (2005) lurkers are reluctant to participate due to lack of knowledge in the field of discussion, don’t have time to contribute, fear of criticism, or notion of own inadequacy. And they also identify that lurkers are the silent majority of the net.
I myself have been a lurker at the WebCt discussion board of REA11 until my lecturer noticed my visitation there and invited me to start posting in the discussion board. I was shocked to see that she was able to identify me visiting WebCT. I always thought as a silent reader no one will know my identity until I expose it. So this on line unit has taught me a good lesson on that.
Lurkers are meant to be harmless people, but how do we make sure they are harmless? Can lurkers turn into hackers? If so what can they hack? These are questions which always scared me when thinking of lurkers. So in my opinion, it is better to be general in all discussion rather than saying anything very personal and fall into a trap of those lurkers.
Some stay as lurkers since they don't want their email addresses made aware, so to avoid from spam emails and viruses.

This is a pretty good journal to read before joining a newsgroup. The journal discusses the key points in staying motivated in a newsgroup and how a new member can post something impressively. More to it the analysis made on newsgroup is excellent. It is surprising to read that only new members after joining post only two to three times in three to six months in joining.
I certainly do agree with this journal that motivation is the main factor to consider in contributing and staying tuned to a newsgroup. So when a new member joins the response to his/her first post is what is going to decide on his/her future contribution.

I totally agree with the author that a lurker is like a school kid who is new to the class and not sure where to start and how to start. So that kid to start a conversation he/ she should be comfortable and interested in the topic discussed by the others. Similarly the lurkers are also looking for some thing attractive.
By having options available to select the method of receiving the correspondence of the email list or newsgroup also could encourage participation of lurkers. That is sending a summary of the email list or group discussion on a daily basis rather than every single post.
Concept #2: Your audience's use of communication
“Informational exchange consists in the content of messages but also the uses (intended or unintended) to which the information is put.”(Allen, n.d.)
When sending or receiving emails you should be very clear about the message and the content. Some times the email we receive we may think of it as just for information purpose, while the sender had an intention of getting feedback.
Especially at work place when sending an email always use the subject field to clearly state the purpose of the email. That is “Urgent action requested” or “FYI– For Your Information” etc. Then check to see the date and time on your computer is correct if in case you are sending a very important correspondence via email and the time and date sent is very important. Message should clearly identify the intention of the email. Do specify again if the matter is urgent and you do need feedback. This will make sure that the receiver will act on it as soon as possible and provide feedback.
So basically when communicating via email you should read the mail out loudly before sending out as you are the recipient and see whether the real receiver will understand the intention and information on the message.
On the other hand the receiver should understand what is requested in the email. Is it just for information or is any action requested by them. They should double check an email before they send the reply back to the sender as to whether they have missed answering any questions or have they fulfilled the requirement in the email. This will help both parties to good communication and effective time management.
Use of internet information and understanding the resources available is also important in understanding the intention of the web site publisher. While it is the responsibility of the publisher to make the subject in discussion clear it is also the responsibility of the reader to interpret the intention clearly that is if in doubt leave a comment as to what you are expecting from the publisher.
There are search engines which helps the surfers to find the web sites or links to the URL’s with few key words. So it is important to have relevant title to a URL or web site. So the web designers should choose the right subject heading or title that connects with the web page.
Another aspect to consider is the purpose of the audience. Are the users or surfers going to print my page? If so is it in a proper format to print? Or are they going to view on the screen and if so what is the screen resolution should be or give alternatives as printable version? These are questions publishers have to test before publishing. E.g. For my assignments I print lot of web journals and articles to note down points before start writing my own version. I get frustrated when I can’t print the document in a printer friendly format.
There are many survey and researches conducted to understand the purpose of the audience's use of web pages or a web site. It reveals that young people turn to internet for many things compared to mature adults. The young depend on the net for news to studies to even for the latest Olympics games. So catering to this society will cover majority of the cyberspace community.

This is an excellent site with lots information published in a nice step by step format as to how to publish a web site. This journal tells us clearly as to who the audience going to be, what their expectations, what format should be used, how the content should be formatted and finally enlightens on the legal issues such as privacy, copyright etc.
This is a good guide to new publishers who are confused as to where to start and how to format and whom to address. I think Queensland government web centre has done a pretty good work on the internet publishing.

Then the article moves on to talk about how important content is by stating “content is king”. The article explores the importance of the proper construction of contents in a web site.

My Web Page-HTML tags
At the beginning I thought I am not going to be able to do this and publish my web page. Any way as i went along I understood the principals. Most important is to remember, when you open a tag you have to close it otherwise it will mess up every thing.
It is very very time consuming to create a web page compared to blog. In my personal opinion I find blogging easy to maneuver. I could use the mouse instead of the key board, where as in creating a web page we have to use the key board and all the shortcuts have to be known. Blogging is very user friendly I mean every thing is there for you, by click of an icon we could get bold, italics or underline working but in HTML for every single thing we have to write command.
In blogging i do the spell check before I finalise but in Notepad I did not have that facility I had to copy content to a Word document and check for spellings.

Newsgroup & Chat
I tried the Usenet Google newsgroup for my newsgroup task. I selected the "Cooking Nook" group. I had fun reading all different kinds of recipes, cooking tips and housekeeping ideas. It was not easy to join them because I had to get the presidents permission via email and then only able to become a member to contribute. But it was a good newsgroup to join as I am a mom of two I enjoyed all the postings.

Mars Bar Slice is my all time favourite sweet. Try this out and let me know how you all feel.
Mars Bar Slice
Ingredients
3 x 60g Mars Bars 3 x cups of Rice Bubbles 1 x tablespoon of Golden Syrup 1 x 150g block of Cadbury Milk Chocolate 75g butter
Method
Place chopped Mars Bars in a heatproof bowl with butter and golden syrup. Microwave until ingrains are melted (about 1 minute) Stir until mixture is smooth Add Rice Bubbles and mix together until all Rice Bubbles are covered by chocolate. Line a square cake tin with foil and spray with cooking spray or rub with butter. Press mixture firmly into the tin on top of the foil Place in the fridge until firm (about 2 hours) Melt the Cadbury Milk Chocolate in the same clean bowl in the microwave (be careful not to burn) it will take about 2 minutes. Spread the melted chocolate over the now firm mixture until it covers the top completely. Cover tin with foil and place in the fridge until firm. Removes slice from tin and leave out of fridge for about 1 hour before cutting into slices. Enjoy!

Rice Bubbles are cereals (tiny yellow balls) that come in a big blue box it should be similar to rice crackers.

I guess this is the most interactive part of this module so far. I chatted with Gaynour and Julian for my chat task using Skype. We discussed about other chats and upcoming concept assignment. It was fun typing and chatting. I have chatted with my sister before using skype but I used the logitech cam coder so I did not thave to type. I guess it'll be quite a challenge for some one who is not up to speed with typing in this kind of chatting by typing.
I could not take part in any ICQ or IRC chats due to my computer at not letting me download the operating systems. I had difficulties and then I gave up. So I am not in a position to compare other chats. So please do not penalise me for not completing this task with other chat services.
Email List
Email Tasks
A basic email message will contain the senders and receivers email address, a subject heading, date and time and message.
Email address will have username@domainaddress. Eg: puvanarajah@yahoo.com.au. In this case Username is puvanarajah and the domain address is yahoo.com.au. This should be written correctly for the message to reach its destination. So anyone looking at the email address will know that the above stated email address uses yahoo.com.au as the domain.
The date field shows the sender the time it sent the message and the receiver the time their mailbox received the message.
The subject heading is very important especially at work places. Some times in busy working environments people look at the subject and decide whether to read or not straight away. So it is important to have a proper subject heading in the subject field.
2. In what cases would you find it useful to use the 'cc', 'bcc' and 'reply all functions of email?
These functions are very helpful at work place. I use the ‘cc’ function when I want my manager to know what I am doing or when sending some important reports I cc her to receive the copy of my correspondence. I also use this function to make my colleagues act more efficiently. That is when I ask for some information some times they are too busy or reluctant to provide, as soon as they see that I have ‘cc’ my manager in it the relevant information is provided quickly without a reminding email. This ‘cc’ helps me to work efficiently at work place.
‘Bcc’ is a function where a blind copy is sent to a third party without the knowledge of the receiver. I personally use this function mostly when I am sending forwarded messages to others or sending a common message to a group of people. My logic behind using the ‘bcc’ function is – I do not want others to know who and who I have sent the message and some may not like their email address to be known by others. It leaves the recipient wonder as to who else have received this email. And on the other hand the same message may be sent to the recipient many times from different people.
Reply all function is good when you receive a group message and you want your response to be known by every one in the group. This is kind of communication where every body in a group will know what other person is deciding to do on a subject matter. This is helpful when organising a meeting or day out etc…
3. In what ways can you ensure that an attachment you send will be easily opened by the receiver?
There are some commonly used programs which we could use to avoid complications of attachments. At work places we use Microsoft word, excel and Adobe Acrobat very commonly to attach files. But sometimes we receive the very latest versions or non compatible versions of those programmes which we can’t open. So the best way may be to confirm before sending what program other party is using. Otherwise sending it as a plain text document or rich text file will guarantee of recipient reading the documents correctly, but this also can cause formatting problems such as bold, italics etc.
For my personal use of sending photos to my family and friends I used http://www.flickr.com/ to upload the photos and then sent this link to everyone. In my personal opinion this is a very effective and easy way of sending photos. There is no need for the recipient to have any special programme to view the photos.
4. What sorts of filters or rules do you have set up, and for what purpose?
I have set up a filter to put all unknown email addressed into a mailbox called ‘Unknown’ and then organised the rest with relevancy to and type. That is all emails received from Open Uni to go into Studies email folder. That is I setup the filters to find emails with words such as open uni or Curtin or students to go to “Studies”. I have set up several rules to separate emails from family members to friends and work related separately. I also have a special interest in cake making so I receive all cake decorating emails into my “Cake” folder.
I setup mail alerts when I want to read some specific emails as soon as they arrive and to make decisions or reply to them back ASAP.
These setups help me organise my time to read what is important first and then at my leisure I read the other less important ones. I am much organised person at work and home so these filters help me organise my work related and personal emails for me to function more effectively at work and home.
5. How have you organised the folder structure of your email and why?
I have organised my personal use email into folders of family, friends, studies and hobby. At work I have organised in the names of individuals. This is very important for me to keep track of when some one sent and what actions I have taken. If an email needs action then what I do is I act upon it and then reply to the original email and save that as the Completed tasks email. I have a separate folder for those emails. These folders are easy to use and they are good filing methods.

In comparison to the telnet, FTP is pretty easy task. FileZilla is a simple program to download and once downloaded it took only seconds to connect to the host recall.curtin.edu.au. Once in there I clicked on MAC folder and readme.text was one of the sub file. I downloaded and saved as a word document. This task has taught me a lesson to 'trust my own work and believe in my capabilities with computer oriented tasks'.
